Graduate School Back-Office System

Context & Problem
Target Users
Administrative staff, faculty members, and graduate program coordinators at Chiang Mai University
Goals
- Redesign the back-office interface with improved usability and information hierarchy
- Establish a scalable design system to support future modules
- Conduct UX testing to validate improvements and ensure user adoption
- Collaborate closely with developers to ensure design-to-dev alignment
The existing back-office tools were outdated, difficult to use, and inconsistent across departments. Staff struggled with complex workflows and lacked an efficient interface for managing graduate program data.
Process
Conducted UX research and interviews with administrative staff to map existing workflows
Analyzed pain points and identified opportunities for simplification
Created new user flows and wireframes focusing on clarity and task efficiency
Developed a design system to unify UI patterns across modules
Ran usability tests before and after redesign to validate improvements
Worked closely with the development team to refine implementation details
Solution Overview
A redesigned back-office system with streamlined workflows, improved navigation, and consistent UI patterns. The new design reduces cognitive load and improves task efficiency, while the design system ensures scalability for future development.
Outcome & Learnings
Post-redesign usability testing showed significant improvements in task completion time and user satisfaction. The system is now easier to navigate and maintain, laying a strong foundation for future digital transformation initiatives. (Detailed metrics are confidential.)
